How to apply for funding

To apply for funding, fill in a form in our e-service for applications. In our step-by-step guide, we describe how. Vinnova works continuously to develop the e-services.

A application usually consists of a form and various attachments, but what we ask for depends on which offer it is.

Start the application well in advance

Start by reading the call text carefully, so that you know exactly what we are asking for the particular offer for which you are seeking funding. Keep in mind that it may take some time to collect all the information from those participating in the project. Therefore, feel free to estimate how long it will take to prepare the various parts of proposal, and make a timetable. This increases the chance that you will finish on time.

The contents of a typical application

Before you start your application, it is good to have all the information at hand. You need to prepare information about everyone who will participate in the project:

  • The coordinator – the organization that manages the contact with Vinnova
  • The project manager – the person who manages the contact with Vinnova
  • Any other partners in the project.

Describe the project

If you are several parties who are to collaborate, you must agree on a project description. Keep in mind that it may take some time. You will also need to specify the budget and schedule for the project.

Prepare any attachments

Often you must both fill in a form and upload attachments. On the call's website, you can see which attachments we request for your particular application, and which templates you should use. Download and fill in the templates in good time, and remember to submit only the attachments we request.

Work continuously with application

When you have completed your application, mark it as complete. You can unlock your application and make changes at any time, right up to the last application date. You must mark an unlocked application as ready again for it to be registered with us.

Share proposal

It is possible to share the editing of proposal with another person. Additional people can also be added as readers of proposal. This is done in the right block next to proposal via the Share button.

Step by step guide to applying for funding

Here we describe step by step how to fill in a application in our e-service for applications. The guide is based on a typical call for proposals, but some calls have special eligibility requirements. Therefore, always follow the instructions on the call's website.

  • In the first step, you should tell us more about the project. Prepare a project summary in Swedish and English, and what objective you have for the project.

    We ask for the following information:

    1. Reference number, if your project is a continuation of a previous project that we financed. You will find it in decisions and reports.
    2. Start and end date of the project. The dates you enter here create year columns for the budget.
    3. Project summary in Swedish

    5. Objective for the project - what should you achieve?
    6. Are there a sex and/or gender perspectives with the project?
    7. If there is information in proposal that you think should be covered by confidentiality. Our programme manager always makes an assessment in each individual case, but your information can be a support in the assessment

  • Classification

    As applicant, you yourself will make a classification of your project in terms of need area, product area and research area. The information of classification is used to analyze, follow up and evaluate government efforts in research and development. The classification is a mandatory step in the application process, but it does not affect our assessment.

  • In this step, the coordinating participant and other project participants who will take part in the project are specified. Project participants who do not seek funding from Vinnova must also be added. If there are financiers other than Vinnova, these must be added under the respective participant.

    The coordinator coordinates the project, receives Vinnova's payments and transfers money to other beneficiary in the project, reports the project according to instructions and notifies Vinnova of any changes.

    What is a participant?

    A participant is an organization who carry out the project - regardless of whether they receive funding or not. A subcontractor is not a project participant.

    What is a financier?

    A financier is an organization that contributes money to the project but does not participate in the implementation. An organization that receives funding from Vinnova may not also be a financier of another participant.

     

  • In order to fill in the budget, the project's start and end dates must be entered in step 1. In addition, the coordinator must be selected in step 3.

    For all project participants, the following must be filled in, click on Edit at the top right.

    Costs

    Budgeted costs specified per cost type and year.

    Funding

    Applied funding from Vinnova and any other financiers specified per year. Own financing is calculated automatically as project costs minus Vinnova's funding, minus any other financing.

    Project participants who do not seek funding from Vinnova must also complete a budget. At the bottom, the project's total budget is calculated automatically.

    The amounts must be entered as whole kronor (SEK). For example, ten thousand is entered as 10 000.

  • Enter the person appointed by the coordinating participant (coordinator) as project manager.

    If the project manager is the same person who is logged in to the e-service, then click the Retrieve my information button.

    Enter the person who is company signatory in the organization specified as coordinating participant in step 3. If the signatory is the same person who is logged in to the e-service, then click the Retrieve my information button.

     

  • Appendices

    Sometimes we request attachments, in addition to you filling out a form. In the call text, you can see which attachments we are requesting for the current call. Some offers have special templates that must be downloaded and filled in. You can find the templates on the call's webpage.

  • To the right (or at the top on small screens), you can see which mandatory information is missing by clicking on Show what is missing. Here you can also get the application in pdf format and see links to more information.

    When you have completely finished, you must mark the application as done by clicking on Mark application as done. Until the call closes, you can unlock the application, change it and mark it as done again.
